Establish what solving it would actually take — effort, cost, disruption and what has to be true for it to work. This is where possibility meets honesty. If the effort outweighs the outcome, that is worth knowing before anything is committed.
Consider the routes, including the unglamorous ones. The answer may be AI, a custom application, an existing platform used differently, a process change with no technology at all, or a combination.
Work in a way that keeps direction changeable. Show real output early. Test against actual work rather than against assumptions about it.
A solution only matters if people can use it. That means documentation, access, and a system that does not depend on its author being available.

Technology is chosen because it serves the outcome, not because it is current.
A good solution does not always require building everything from scratch. What already exists can often be adapted further than expected.

Trade-offs
